Who is responsible for the use of your personal data?

The Forum and WRI are responsible for deciding how to use information about you. We use your information in line with the European and Swiss laws and rules that protect personal data. In the European Union, this is known as the "GDPR".

We use the Google Forms application to record your submission.

The World Economic Forum, with registered offices at 91-93 route de la Capite, CH-1223 Cologny/Geneva, Switzerland (“the Forum”) and World Resources Institute, with registered offices at 10 G Street NE, Suite 800, Washington DC 20002, USA (“WRI”) process your personal data as joint controllers in accordance with applicable legislation with regard to the processing of personal data, namely Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter "GDPR") and any applicable national data protection acts, including the Swiss Federal Act on Data Protection of 19 June 1992 (Status as of 1 January 2014) (together referred to as “Data Protection Law”).

The application we use for this form is hosted by Google Forms as our data processor. For further information concerning Google Forms privacy practices, please read their Privacy Statement.

What types of information do we collect about you?

We collect and use the following information about you:

Information that you give us when you fill out the submission questionnaire:

  • First name
  • Last name (if you choose to share this information)
  • Age
  • City (if you choose to share this information)
  • Country
  • Name of your Social Media Account or Website (if you choose to share this information)
  • Email address (only used for us to contact you regarding your submission)

We explicitly request you not to include identifying photographs that identify yourself or any other individual (e.g. portrait pictures) as part of your submission.

Information that we collect automatically from your smartphone, computer or tablet (e.g. their technical characteristics).

We may also use aggregate information about you, including the domain name, visited surveys, referring URLs, for statistical and analytics purposes.

Why do we use your information?

We use your information:

  • To enable you to participate in the COVID Mobility Works Art Project;
  • To email you when the Art Project’s virtual exhibition launches or there is a change to the launch timeline;
  • To email you if we have questions regarding your submission;
  • To email you to let you know we are not able to feature your submission in the Art Project’s virtual exhibition;
  • To email you to provide any potential updates regarding the Art Project virtual exhibition;
  • To share as part of the Art Project’s virtual exhibition on our website www.covidmobilityworks.org  and on social media accounts owned and operated by partner organizations of COVID Mobility Works (complete partner list available at https://www.covidmobilityworks.org/about). Information that could be shared includes your first name, age, city (optional to provide), country, social media account or website (optional to provide), images of your art and art information depending on what you have shared in the form;
  • To share as part of the Art Project’s virtual exhibition social media outreach, your first name, age, city (optional to provide), country, social media account or website (optional to provide), images of your art and art information.

We will use the personal data we collect from you only for the purposes described in this document or for purposes that we explain to you at the time we collect your personal data. However, we may also use your personal data for other purposes that are not incompatible with the purposes we have disclosed to you (such as archiving purposes in the public interest, scientific or historical research purposes, or statistical purposes) in accordance with data protection laws.

We process your personal data on the basis of our legitimate business interest to collect and process your responses to the submission forms related to your participation in the Art Project of COVID Mobility Works, in accordance with Data Protection Laws. Where required, we will ask you to provide your consent for certain processing activities.

The Forum may share your personal data with the following parties:

  1. Forum Entities: The Forum may share your personal data with its Forum Entities (as defined below) in other locations around the world, for example, to answer your questions adequately.
  2. WRI Entities: WRI will share your personal data with the New Urban Mobility alliance (NUMO) which is housed at the organization.
  3. Third Party Service Providers: We may share your personal data with third party service providers, e.g. Bradley Smith may have access to your personal data as this company is providing services to the Forum and WRI for the complete execution of the project and Webitects.com Inc, may also have access to your personal data in order to help us maintain and troubleshoot the website. We will ensure that third parties accessing the personal data of Users shall comply with the same data protection requirements as the Forum and WRI and that the personal data will be used exclusively for the purposes set out in this document.
  4. Public authorities: We may share your personal data with local authorities to the extent deemed necessary by us for the purposes set forth in this document, in particular for security reasons or as required by mandatory laws and regulations.

We will process personal data in accordance with this document, as follows:

  • Fairness: We will process your personal data fairly. This means that we are transparent about how we process personal data and that we will process it in accordance with data protection laws.

In particular, any personal data provided to the Forum by Users of  Strategic Intelligence is handled with due care and security, and will not be used in ways other than as set forth in this document, or in any site/area-specific policies, or in ways that are not compliant with data protection laws. Furthermore, the Forum employs a range of technologies and security measures to protect the personal data maintained on Forum systems from loss, misuse, unauthorized access or disclosure, alteration or destruction. Finally, all Forum employees who have access to and are associated with the processing of personal data are obliged to respect the confidentiality of all such personal data.

Personal data uploaded into the form will be processed by the Forum in Switzerland, the Forum LLC in the United States and by WRI in the United States and Switzerland.

We take steps to ensure that the data collected with regards to your participation in this Art Project is processed according to the provisions of data protection laws wherever the personal data is located. When the Forum transfers personal data from the European Economic Area to other countries, we use a variety of legal mechanisms in accordance with data protection laws, including contracts, to help ensure your rights and protections travel with your data.

How long do we keep your personal data?

We will keep your personal information for the entire duration of the Art Project and it will be deleted by 31 December 2021. After this date, the Art piece you have submitted and your city (if you chose to indicate it) and country of origin will be the only information that will remain on our Website and Social Media. We may also retain personal data where we must comply with applicable legal, tax or accounting requirements.
